Summary

 

Within an organization’s activities are grouped into two main activities and supporting activities. The main activities aimed at achieving the mission and goals of the organization, while supporting activities aimed at supporting the main activities in order to facilitate the accomplishment of the mission and goals of the organization. These supporting activities charged to the secretariat in this regard a secretary of the organization.

Secretary very large role in the organization, although the main tasks of a secretary is carrying out administrative duties, but a secretary is expected to maintain the confidentiality of the organization.

Position and Role of the Secretary

A secretary has a strategic position within the organization. As supporting the activities of the organization, he has a position as a manager in managing administrative tasks which include collaboration, accommodate all members of the organization, as well as manage all the activities of the organization. A secretary function began with the planning, arranging, collecting, recording, processing, controlling, transferring to the filing. While the role of the secretary-Keeper / Home Organization à screen guests, filter and information manager, personal assistant / right hand leadership, secretkKeeper / holder of the secret, advisor to be consulted, liaison / public relations, as well as the nurse / protective à maintain an atmosphere conducive to the leadership.

  • Be proactive
  • Understand the organisation and strategy
  • Ensure all regulatory functions done on time
  • Aim to provide first class secretarial services to the Board
  • Talk to Chairman about support you can give
  • Talk to Directors about quality of board papers
  • Talk to NEDs about any support they need
  • Ensure clear, complete, quality records
  • Ensure records kept for required length of time anticipate.

Conclusion

E-Secretary is the secretarial profession with skills in technical competencies and problem-solving, internet based is preferable. E-secretary also has to develop skills such as interpersonal communications, office management, team work and report writing. The ability to effectively perform in different administrative levels is the ones who can add value to any organization, is also necessary.
